The smallest version solved one person’s problem.
I began with a personal timer to understand how long my own jobs took. Mapping where those jobs came from—and where the captured time needed to go—turned a private utility into a connected agency workflow.

02 / Role-based workflows
One system. Five different views of the work.
Designers, client and social media managers, traffic, accounts and administrators do not need the same dashboard. Permissions and role-specific interfaces keep the product focused while preserving one source of truth.

Traffic reporting shows how work moves through the agency. Billing views compare time worked with billable allocation, while pro-rata logic helps distribute retainer hours across multidisciplinary teams.

Designed, tested and improved with the people using it.
The first usable version took two months. Testing, phased implementation and live feedback shaped the next four. Leadership input added pro-rata billing, while recurring questions became a role-filtered help centre.
Personal time tracking becomes a wider product opportunity.
Core workflows, role logic and database implemented.
Real jobs expose bugs, gaps and new reporting needs.
Workflows expand across departments and responsibilities.

01 / The problem
Missed deadlines and disconnected records made it difficult to understand where time was going, what was billable and who needed to act next. The first idea was a timer for my own work; mapping the wider problem revealed an opportunity for the whole agency.
02 / The system
I designed role-specific experiences for designers, social media and client managers, traffic, accounts and administration. Jobs now move through one shared system with assignment, timers, revisions, timesheets, reporting and pro-rata billing logic.
03 / The build
I defined the product requirements, workflows, interface and data relationships, then used Antigravity with Claude Sonnet and Gemini Flash to accelerate React development, Supabase implementation, testing and debugging. The product has been in full use since June 2026.
